Total Synergy

  • To access go to 'Organisation > Contacts > Add'. 

    Type 1: Companies

    • Business that you deal with for projects (Milligan Group as an e.g.)  

    • Info required: company name, ABN, website, email (generic), phone (from options at the bottom), and street address. 

    • Note: Clients in a couple are also set up as companies.  

    Type 2: Personnel

    • People that work at the companies (Aaron Milligan as an e.g.) 

    • Info required: first name, last name, personal email, personal phone number (add 'phone' or 'mobile' from options at the bottom). 

    Type 3: Individuals 

    • People not linked to companies that you work with (Photographer as an e.g.) 

    • Info required: first name, last name, email, website, roles, mobile, and  address (if applicable). 

    Type 4: Bulk Import Contacts

    • Organisation > Settings > Organisation > Data Imports > Excel Import > Choose Contacts Tab. 

    Good to know’s:

    • If you're creating a  profile for someone categorised as personnel, you can only do so if the company profile is already set up. 

    • Formatting phone numbers – include spaces (0438 259 067 as an e.g.) 

  • When you're in a Project File > Project > Financials > Invoices > Add > 3 Dots next to preview > Switch Layout > Choose MH Template > Download. 

    The steps to load them into your Synergy organisation are: 

    • Step 1: Save the zip packages to an accessible location. 

    • Step 2: In Synergy, go to the Organisation menu > Settings >Templates > Documents. 

    • Step 3: Click the ellipsis button at the top right of the Document templates screen and select Import template. 

    • Step 4: Click the Choose File button, browse to the downloaded zip packages, select one and then click Open. 

    • Step 5: The zip file name will be displayed and you can click Import. 

    • Step 6: Repeat the process for the second zip package. 

  • Our sample invoice templates will be set as the default, so to test them against your data e.g. DRAFT invoices, the steps are: 

    • Step 1: Open the invoice > click the ellipsis button below the invoice image > switch layout. 

    • Step 2: Locate the thumbnail image of the new template and then click on the template heading to select it. 

    • Step 3: A ‘generating new document’ message is displayed and the invoice image will regenerate based on the selected template. 

    • Step 4: You can view the Word version of the invoice by clicking on the ellipsis button again and then select Download docx. 

    • Step 5: The PDF version is downloaded by clicking on the Download PDF button to the left of the ellipsis. 

  • To access go to 'Organisation > Projects > Add'. 

    Step 1: Fill out relevant details, including primary contact (client). 

    • If you are assigning a contact to a project and their details are not in Synergy, create the profile through contacts first, then assign. 

    • The primary contact - or the person who receives the invoices - must have an address on their file to pull through to the invoice. Also add ABN on client profile if applicable.  

    Step 2: Once you've created a project, apply work breakdown template from project page

    • Project Menu > Plan > Work Breakdown > Edit > 3 dot menu > Apply Template > MH Template > Save. 

    • To edit the status of a Phase: Edit > Click on the status > Select using tick boxes > Choose new status > Save. 

  • To access timesheets go to 'Organisation > Timesheets > Time tab'. 

    Downloading and saving your timesheet: To be completed by 9am Monday morning.  

    • Step 1: Choose relevant project, hours and add a short description for each entry, then Save.  

    • Step 2: Go to 'Organisation > Reports > Choose "MH-TIMESHEET-CURRENT WEEK". 

    • Step 3: In the last row (AND Staff Name EQUALS) choose your name from the dropdown.  

    • Step 4: Press OK, then the Print symbol.  

    • Step 5: Once downloaded, save your timesheet in 'MH OneDrive > MH-Team > MH-Team-Timesheets > Relevant Year > Relevant Week > Follow naming convention INITIALS-YYMMDD'. 

    Recording Leave: 

    If you are a permanent employee, and you have taken leave, please record it on your timesheet under the following:  

    • Project: Internal 

    • Stage: Leave 

    • Task: choose type of leave 

    • Fill out days/hours. 

  • If you're using you're own car for site visits/project related work, please track your kilometres travelled in Synergy to be re-imbursed.  

    • Step 1: Go to 'Organisation > Timesheets > Travel (rather than Time section) > Fill out project details, choose disbursement, then choose Mileage Allowance under Rate'.  

    • Step 2: Type in the total number of Kilometres travelled, and add a note describing the work. Save.  

    Note: This is separate to logging your time against a project – both are required.
